Purchasing and Operations Coordinator

As our Purchasing and Operations Coordinator, you'll take responsibility for purchasing and logistics, help keep our day-to-day operations running smoothly, and play an active role in improving and digitalizing our administrative processes.

This is a varied, hands-on position that combines working with suppliers, coordinating deliveries, supporting office operations, and helping us introduce more efficient ways of working.

Purchasing for projects

• Purchasing electronic components, mechanical parts, and materials for customer projects.
• Requesting quotes, comparing prices and lead times, and placing orders with domestic and international suppliers.
• Tracking deliveries, chasing delayed orders, and handling claims.

Internal purchasing

• Purchasing equipment, workshop supplies, office supplies, and furnishings.
• Working with a colleague to keep the kitchen and office stocked.
• Coordinating internal purchases and helping ensure that the office and workshop have everything they need.

Shipping and logistics

• Packing shipments and maintaining stocks of packaging materials.
• Booking carriers (such as UPS), coordinating pickups, and preparing shipping and customs documents for international deliveries.
• Occasionally driving to pick up materials, make purchases, or drop off shipments at carrier locations.

Invoices and accounting support

• Collecting and organizing supporting documents for purchases and incoming invoices.
• Working with our external accountant to obtain missing documents and resolve administrative issues.

Process improvement and digitalization

• Helping define requirements for purchasing and invoice processing in Odoo, our ERP system.
• Identifying opportunities to simplify administrative processes, reduce paperwork, and introduce more efficient digital workflows.
• Helping put these improvements into practice.

Office operations

• Supporting the colleague responsible for office management and covering routine tasks when needed (such as refilling the coffee machine, kitchen, and office supplies).

• A permanent, full-time position, starting December 1, 2026, or on a mutually agreed date, with time to learn the role from your predecessor.

• Native-level Czech.
• English at B2 level or higher, with the ability to communicate with international suppliers by email and occasionally by phone.
• A valid Category B driver's license and a willingness to drive occasionally.
• The ability to find your way around independently and see things through without constant supervision.
• Analytical thinking and an interest in improving processes, including the ability to understand existing workflows and suggest practical improvements.
• Attention to detail, especially when managing orders, deliveries, and documents.
• A helpful attitude and a willingness to roll up your sleeves: packing a shipment or refilling the coffee machine comes as naturally to you as closing an order with a supplier.
• Good computer skills, including email, spreadsheets, and suppliers' online stores.

Nice to have

• Experience in purchasing or logistics, ideally in electronics or mechanical engineering.
• Familiarity with electronic components and distributors such as TME, Farnell, Mouser, or DigiKey.
• Experience using an ERP system, ideally Odoo, or helping implement a new system.
• Knowledge of international shipping procedures, including shipping and customs documentation.
